Accounts Policy

The PenarthRyans web site's purpose is to make information about the Ryan family of Penarth, Wales and their descendants and antecedents available to family members who are located in many places in the world. Access to the site is granted as a privilege.


Types of Accounts


The software used to build, manage and present the site provides a number of levels of access to web site's data. For administrative purposes, the PenarthRyans site groups these as, and associates these with, a set of defined data access privileges – Account Types:

The meaning of the columns is described in the following section TNG User Account Function and Structure.


These principles guide the setting of Account Types and the association of various access level privileges with each type:


  • Administrator – Manages all of the activity of the site and has responsibility for ensuring the integrity of the site's data and for the effective and efficient operation of the site. The administrator is responsible for ensuring that the site can recover from a loss of data – partial or total - and is responsible for implementing site security. This requires access to all of the services offered by the software system and by the ISP.

  • Contributor – Manages the input and accuracy of data for a specific family branch. This requires access to full edit (add, change, delete) privileges for their assigned family branch.

  • User-Family – Any family member who has been granted access to the site. They are allowed to view information on all family members, living or deceased, but are not allowed to change data. They may submit recommendations for change through the site's Contact Us function.

  • User-Non-Family – A person who is granted site access but who is not a family member. They are allowed to view information on all family members, living or deceased, but are not allowed to change data. They may submit recommendations for change through the site's Contact Us function.


Adding Accounts


The Administrator of the web site may grant user account privileges to:

    1. Any family member, without permission of other Contributors. The administrator will, though, notify all Contributors each time a family member is added or removed from the site. If the Administrator is not sure that a person requesting an account is a family member he or she must contact all the Contributors for their advice.

    2. Those friends of the family for whom a family member vouches, through a Contributor, without permission of other Contributors.

    3. Those who have a valid interest in genealogical research and who are approved by all of the site Contributor coordinators.


In all cases the Administrator must advise the Contributors of addition of a user account.


Removing Accounts


Account removals vary by Account Type as follows:

Abuse of account privileges is defined by the current PenarthRyans Privacy Policy.


Any person granted a User Account may removed immediately for abuse of account privileges. The determination of abuse of account privileges will be affirmed by the Contributors, except if the person is themselves a Contributor and then they will be excluded from the determination review.


The Contributors, collectively, may, on appropriate cause, seek the removal of the Administrator where there is evidence of failure to adequately perform the Administrator's duties. The Contributors, collectively, will name a designated Administrator.


The Administrator will be responsible for implementing the account removal and for notifying Contributors of the completion of the removal, except where the Contributors have removed the Administrator, in which case the designated Administrator will perform this action.


TNG User Account Function and Structure


These accesses are controlled through the User page on the web site's Administration menu. Choices are:

Restricts the account to a specific tree [we only have the PenarthRyans tree] and specific branch [there are currently 7 branches defined: Cole, Couper, Moran, Morton, Reinke, Ryan and Tremain]. As of the date of this policy, of these branches, only Cole, Moran, Reinke, Ryan and Tremain have been implemented.

Edit (Change)

* Allow to edit existing records

* Allow to submit edits for administrative review (People, Families and Sources only)

* No edit rights

<<The only mystery is the “administrative review” process. The way that TNG defines this is “User may not enter the Admin area for editing purposes. Tentative changes may be made from the public area by clicking on the small Edit icon next to eligible events on the Individual and Family Group pages. Changes do not become permanent until approved by the administrator. “ I guess we need to try this out. I'm hoping that there is a way to have Contributors do this approval but haven't delved into this at all.>>

Not Currently Used - Allow to download GEDCOMs. User may use the GEDCOM tab to download a GEDCOM file from the public area. From Wikipedia: “GEDCOM, an acronym for GEnealogical Data COMmunication, is a defacto specification for exchanging genealogical data between different genealogy software. GEDCOM was developed by The Church of Jesus Christ of the Latter Day Saints as an aid to genealogical research

A GEDCOM file is plain text (usually either ANSEI or ASCII) containing genealogical information about individuals, and meta data linking these records together. Most genealogy software supports importing from and/or exporting to GEDCOM format. However, some genealogy software programs incorporate the use of proprietary extensions to the GEDCOM format, which are not always recognized by other genealogy programs, for example the GEDCOM 5.5 EL (Extended Locations) specification.“
